As a parent of three younger kids, sending that out in advance is SO HELPFUL!

Ashly Loftin 4th grade Spring Creek Elem Wayne County
Tonya
41:42
I used that during COVID with standards for parents
Jeni Day
42:10
Also as a parent of three kids, consolidating communication and trying to stick to once a week is easier for them AND you. :)
Jeni Day
42:49
LOL - The number of times I wanted to cry when I got three different emails with things for the kids in the middle of my work morning on Monday. :)
Jeni Day
44:39
Think of communication as layers of blankets … you want to make sure there is enough coverage without it getting too hot. :) Some will need more and some will need less. Starting with "live" communication helps to build community and strong teacher-student relationships, which is the most essential "coverage" for any communication.
Jeni Day
45:37
Live classes are great, too, because you can communicate with many at once. Having a "back to school" live meeting for parents and students is a great way to replace the Open House that so few of us will be able to hold.
Laurie Sloan
46:12
Mute all is a beautiful thing!
Laurie Sloan

Jeni Day
46:49
Or if you teach elementary kids and KNOW THE PAIN of having them all speak at once … about the most beautiful random things. :)
Kim Loudermilk
47:13
Awesome Suggestions
Jeni Day
47:32
CHAT QUESTION: Is your district allowing live sessions? Requiring them? Requiring a certain live session tool?
Lizzie Shepherd
48:04
Cumberland Co is requiring them using WebEx and Google Meet
Henry Hall
49:09
We would run into privacy right concerns about recording online meetings. That's why I didn't record them through Google Meets at the end of the last school year. So what if a student refused consent? They could use that as a justification never to come on for the lessons.
Jeni Day
49:12
@Lizzie - thank you! Google Meet has a lot of similar options to Zoom, so you will find the discussion on Zoom translates well to that.
Jeni Day
50:11
@Kristen - CMS, too. We are required to have synchronous each day (or that is the directive so far). :)
Kellie Perkins
50:50
Can you share examples of your forms that students fill out.
Jeni Day
51:26
@Henry - great question! If students couldn't / wouldn't attend in the spring, I required watching a recording (of the session or of me explaining the concept) with a summary to "replace" the grade. It gets tricky with consent and privacy, so having alternatives can help ease the stress for you. :)
Nathalie Morse
51:35
Students can watch the recording if they don't come to class. It also might be worth communicating with the parent about it as well. There may be a misunderstanding about what's recorded.
Jeni Day
52:39
@Kellie - I will lift your request up when the experts screen share in a bit! If not, feel free to contact me and I can share some I use. :)
Tonya
52:50
I love that idea!!!!
Kellie Perkins
53:03
@Jeni, thanks!!!:)
Henry Hall
53:10
@Jeni, I would record the lesson after the fact then posted it in Google Classroom. It was great as the video saved directly into Google Drive after recording then posted it.
Jeni Day
53:41
@Henry - YES! Excellent idea! The integration of video makers to an LMS makes things so much easier.
Kim Roberts
54:50
Such good ideas!
Jeni Day
55:08
When communication, whether live or asynchronous, is engaging and approachable it builds interest in students and makes them want to communicate more - which will make your job easier!
Henry Hall
55:08
@Jeni, One can start a Google Meets, not invite anyone and just record oneself and once it is done, it processes and saves in Google Drive.
Kim Loudermilk
56:05
Great engagement strategies
Jeni Day
56:14
@Henry - absolutely! Wonderful note for all to consider in communication that can be taped and asynchronous. We are talking about that strategy during our video making webinar coming up and it is one that is wonderful to share! Thank you!
Jeni Day
56:57
Such a good point, Laurie! Adding in polls, questions, games, and responses every 10 minutes or so helps alleviate the "log in and leave" strategy some of our students employ. :)
Heidi Miller
57:28
Awesome ideas. Kahoot and the whiteboard are really effective!!!
Rachel Hill
57:44
Is the white board you're talking about a specific program that you use?
Henry Hall
57:47
@Jeni, in relation to future webinars, the registration for next Tuesday and Thursday meetings are linking to register for today's meeting.
Heidi Miller
58:27
@Rachel It is embedded as part of zoom
lsanndra
58:43
I agree students do have awesome ideas...
Annika Jasek-Rysdahl
59:11
You can probably send parents surveys at the end of the week including how to communicate better as well
Willie Mitchell
59:14
I actually put up a small dry erase board so the students can actually see me work out the problem during the online class.
Rachel Hill
59:22
@Heidi thanks! My school isn't allowed to use Zoom, that's why I didn't know! Lol
Jeni Day
59:32
If you don't have a doc camera, you can suspend your phone a foot or so above the desk using something from around the house (I have used a stack of cans to hold my camera in place when in a pinch!). Then you can record you writing on paper.
Jeni Day
59:57
@Henry - thank you! That is helpful to know. :) I hope it makes it easier to join us!!
Jeni Day
01:00:27
@Willie - excellent idea! A whiteboard is a beautiful thing - whether a virtual or IRL version.
Jeni Day
01:00:51
@Rachel - it is integrated in Zoom. There is also one for Canvas Conference and (I believe) for Google Meet.
Heidi Miller
01:00:56
@Racquel Lol. I will have to see if it is in Google Meet or Blackboard as those are the 2 we might be moving to. Or I will just have to go traditional whiteboard behind me. LOL!
lsanndra
01:01:18
Willie Mitchell, Annotate.net has an awesome online whiteboard that allows you and/or students to write on...
John Mullen
01:01:42
How can you filter inappropriate language or visuals during live video? TV uses a slight delay; is there something analogous for remote teaching?
Loretta Wilson
01:01:57
A welcome letter linked in would be helpful as well!
Kellie Perkins
01:02:19
Our counties mandate our office hours
Jeni Day
01:02:30
@Annika - great idea! Building in communication that allows parents to "talk back" and offer feedback or concerns really helps strengthen parent-teacher communication.

@Heidi, my pleasure!
Nathalie Morse
01:03:52
If you use a google voice # then you can have it on your computer only and not answer after school hours
Jeni Day
01:04:07
@Brian - absolutely!
Tonya
01:04:24
Awesome!!!
Tasha Weatherington
01:04:31
How do we get parents and students connected to our communication at the beginning of the year when we haven't met and have new parents and kids ?
Tonya
01:05:08
Take a moment for yourself!!!
Jeni Day
01:05:14
@Brian - it is also a great strategy to regularly communicate and post when you are available (so they also know when you are not). For example, I say "Feel free to text/email/call between 8AM and 3PM and I will respond within 12 hours. Any communication after 3PM or on weekends will be returned the next school day!) :)
Elaine Alisin
01:05:43
scheduling works for me in regards to office hours :D
Nathalie Morse
01:05:45
Google voice is great for text and you can include every phone number for a student's family - student, and all caretakers
Dustin Weaver
01:05:52
5 minutes until slide 18
Jeni Day
01:06:10
BOUNDARIES PROTECT us all - students, teachers, and parents! Stating them in the beginning and "teaching" those boundaries by sticking to them and posting often is important so you can stay sane and help students with full strength. :)
Sheri Lawrence
01:06:24
Good morning from Brunswick County Schools, apologies for late entry to webinar.
Jeni Day
01:06:40
@Nathalie - Google Voice is one of my favorite tools! Remind 101 and Talking Points are other great options if you don't need to the phone options.
Nathalie Morse
01:07:19
If you want to book appointments for 1-1 consider youcanbookme.com - it has a free version. if you decide to do the pay version, let them know you're a teacher and they'll discount
Jeni Day
01:07:26
@Brian - there is a "chat" option in Canvas and a "message" option - but it is not SMS-bound like Remind 101. I definitely use an SMS option in addition and make sure my SMS contact information is front and center on the home page.
Kim Roberts
01:08:14
very specific
Jeni Day
01:09:13
@Tasha - excellent question! At NC Virtual we start with a welcome email and a welcome call to parents if the email does not get a response. It takes time, but it does tend to pay off pretty quickly in terms of parent support.
Jeni Day
01:10:14
@Brian - most of my students respond quickly to Canvas Message if they are good about logging into the course. If they are not, having Remind or GVoice is typically my go-to.
Kellie Perkins
01:10:55
You can also set up appoints with parents with the app YOu can book me!
Tonya
01:10:58
Our system uses a Google Contact Log that allows admin to help support you.
Laurie Sloan
01:11:22
@Kellie fantastic idea!!
Tasha Weatherington
01:11:26
I will have 450 parents/students to connect.
Kellie Perkins
01:11:47
@Laurie, thank you!
Laurie Sloan
01:11:47
@Tonya—Brilliant!!
Jeni Day
01:13:01
@Tasha - wow. That is formidable. Mail merge might be something you could use to help manage that number. Also "Dial My Calls" or an automated call system to send a request for communication and/or quick information can be helpful in getting the ball rolling. No way around that number being a lot to manage, though.
Jeni Day
01:14:26

01:16:06
Serendipitous question inspired by the video glitch: when this happens to me, or other tech issues, and it will, and there will be, there isn’t another presenter to keep them focused while I try to troubleshoot; how do we keep their attention, reschedule, as it were, if we can’t get it fixed--most of us aren’t tech experts?
Mz Yavuz
01:16:07
If you are being told to contact parents but don’t want to use your home phone, what are your options? My district does not allow you to use google voice.
Sharon Williams
01:16:34
Worth it!
Jeni Day
01:16:49
YAMM is an add-on in Google Sheets. If you are unfamiliar, we have webinars that have presented on the tool on the Digital Transition page.
blyne
01:16:55
Someone mentioned an app called Grasshopper and our last PD
Rachel Hill
01:17:34
@Mz I just used my personal google email to create a Google Voice since my school email wouldn't link to it. It doesn't seem to affect my personal account
Jeni Day
01:17:55
@John - great question! One thing you can do is use that time to have students answer a chat question while you work to navigate the issue. Alternately, depending on the age of your students, you can have a "student assistant" ready to lead a quick conversation.
Laurie Sloan
01:18:12
@John it will happen, and that is okay. Let them know that this is new for everyone. It is okay to be human. Sometimes I tell them to check announcements if I lose them for any info I was going to cover for that class
John Mullen
01:18:19
In the past (college teaching) I made it clear in the syllabus that clicking on the "read receipt" will be their statement that they really did read the message; for some people it becomes reflexive to click the button even if they haven't actually read it.
Laurie Sloan
01:19:21
@John, I always tell students to check my Canvas announcements if the internet fails for what ever reason, like a storm. That happens a lot.
Jeni Day
01:19:29
@Mz Yavus - if you cannot use G Voice, there are some alternatives, although none I have found that I like as well. A low-tech option is to use your phone and block the number when you call (to protect your privacy). Is using the phone required, or is any contact method okay?
Mz Yavuz
01:20:17
It is being required this year.
Jeni Day
01:20:42
You can also set aside a certain amount of time that you will use for communication on a certain day or days of the week and then stick to that time constraint to help protect your time. :)
Mz Yavuz
01:21:06
Most of our parents do not give an email address and sometimes they change numbers several times during the school year.
Jeni Day
01:21:11
@Angela - absolutely! We have several on the Digital Transition page. There is also a great resource in Canvas Community.
Henry Hall
01:21:19
Google Meets can make phone calls and one can talk through that. I found it quite useful for contacting parents during the time we were out.

01:22:20
@Denicia I will link this form in the slides for you and it will be on the digital transitions page
Jeni Day
01:22:25
@Denicia - the form itself is one we use at NC Virtual. I will check but I am betting we can easily share a template of this if you contact one of the presenters.
